1. Scope and Accountability

This Privacy Policy applies to TradeDash Inc., operating as TradeDash (“TradeDash,” “we,” “us,” or “our), and explains our practices concerning personal information collected through:

  • the TradeDash website and mobile applications;
  • customer, Supplier, and Delivery Provider accounts;
  • product searches, orders, deliveries, returns, and support;
  • emails, text messages, push notifications, telephone calls, and forms;
  • business relationships, onboarding, verification, and payment processing; and
  • other interactions that link to or expressly refer to this Policy.

Personal information” means information about an identifiable individual. It does not generally include business contact information used solely to communicate with a person in relation to their employment, business, or profession where applicable law excludes that information.

TradeDash is accountable for personal information under its control. We have designated a Privacy Officer to oversee compliance, respond to questions and complaints, and manage requests concerning personal information.

This Policy should be read together with the TradeDash Terms of Service and any additional agreement that applies to your role.

2. Information We Collect

The information we collect depends on how you use TradeDash and whether you are a Customer, Supplier, Delivery Provider, business administrator, employee, contractor, or website visitor.

Identity and profile information Name, username, profile image, date of birth where required, account type, preferred language, and identity-verification results.
Contact information Email address, telephone number, mailing address, business address, delivery address, and emergency or site contact details.
Business information Company name, role, department, job title, business number, tax information, licences, permits, insurance information, and authorized-user relationships.
Account and authentication data Account identifiers, encrypted or hashed credentials, login history, verification codes, session information, device identifiers, and security events.
Order and transaction information Products viewed or ordered, quantities, prices, substitutions, receipts, invoices, refunds, tips, delivery instructions, order history, and communications relating to an order.
Payment-related information Payment tokens, card type, last four digits, billing address, transaction status, payouts, bank-account details for eligible business users, chargebacks, and fraud indicators.
Location and delivery information Pickup and delivery addresses, GPS location, route and trip information, timestamps, job-site access instructions, photographs, signatures, delivery codes, and proof-of-delivery records.
Delivery Provider information Driver’s licence details, vehicle information, insurance, background or eligibility checks where lawful, availability, accepted jobs, completion records, ratings, and incident reports.
Supplier information Store contacts, product listings, inventory, pricing, fulfilment performance, payout information, licences, tax status, complaints, and return records.
Device and technical information IP address, browser, operating system, app version, device model, advertising or analytics identifiers, crash logs, diagnostic data, and network information.
Usage information Pages and screens viewed, searches, clicks, feature usage, referring pages, session duration, interaction events, and approximate location derived from an IP address.
Communications and support information Support tickets, emails, calls, chat messages, complaints, reviews, survey answers, and attachments submitted to us.
Marketing preferences Consent records, subscriptions, referral participation, campaign engagement, and unsubscribe choices.
Safety, fraud, and compliance information Incident reports, suspected fraud, account restrictions, identity matches, legal requests, safety complaints, and records needed to enforce our agreements.

Please do not provide personal information that is not reasonably required for the applicable transaction. Delivery instructions should not contain unnecessary sensitive information.

3. How We Collect Information

We may collect personal information:

  • directly from you, when you register, order, deliver, list products, contact support, submit documents, or change settings;
  • from another user, such as a business administrator, purchaser, job-site contact, Supplier, or Delivery Provider involved in a transaction;
  • automatically, through cookies, logs, pixels, software development kits, device permissions, and similar technologies;
  • from service providers, including payment processors, mapping services, identity-verification providers, communications services, analytics providers, and fraud-prevention services;
  • from public or commercially available sources, where permitted by law; and
  • through integrations authorized by a Supplier, business account, or other user.

If you provide personal information about another person, you represent that you have authority to provide it and have given any notice or obtained any consent required by law.

4. How We Use Personal Information

TradeDash may use personal information to:

  • create, authenticate, administer, and secure accounts;
  • verify identities, businesses, licences, vehicles, insurance, eligibility, and payment details;
  • display products, inventory, pricing, availability, and relevant Suppliers;
  • process orders, substitutions, payments, payouts, tips, taxes, returns, refunds, credits, and chargebacks;
  • connect Customers, Suppliers, and Delivery Providers;
  • dispatch deliveries, provide navigation, calculate routes, estimate arrival times, and enable live tracking;
  • confirm pickup and delivery and maintain proof-of-service records;
  • communicate about accounts, transactions, deliveries, safety, support, and policy changes;
  • personalize the Services and remember preferences;
  • provide customer service and resolve complaints and disputes;
  • detect, investigate, and prevent fraud, abuse, theft, payment loss, security incidents, and unsafe conduct;
  • monitor platform quality and Supplier or Delivery Provider performance;
  • debug, test, analyze, maintain, and improve the Services;
  • develop new products, features, analytics, and business insights using aggregated or de-identified information where appropriate;
  • send marketing communications where permitted by law;
  • enforce our Terms, policies, and commercial agreements;
  • establish, exercise, or defend legal claims;
  • comply with tax, accounting, insurance, regulatory, court, and law-enforcement requirements; and
  • carry out another purpose that we identify when collecting the information or that is otherwise permitted or required by law.

We seek to limit collection, use, and disclosure to purposes that a reasonable person would consider appropriate in the circumstances.

5. Location Information

5.1 Customers

We collect delivery addresses, pickup locations, and location information you enter or choose on a map. With device permission, we may use your device location to suggest an address, show nearby Suppliers, estimate delivery availability, or support an active order.

5.2 Delivery Providers

When a Delivery Provider is available for work, accepts a delivery, or completes an active delivery, TradeDash may collect precise location information from the device, including in the background where the device settings and applicable law permit.

This information may be used to:

  • identify available Delivery Providers;
  • offer, dispatch, and route deliveries;
  • show pickup or delivery progress and estimated arrival times;
  • support navigation and route optimization;
  • verify arrival, pickup, delivery, and distance travelled;
  • calculate fees or compensation where applicable;
  • respond to safety incidents and support requests; and
  • detect fraud, account sharing, false status updates, or other misuse.

A Delivery Provider can manage location permissions through device settings. Disabling required location access may prevent delivery features from functioning.

5.3 Sharing live location

During an active delivery, limited live or recent location information may be shown to the relevant Customer, Supplier, authorized business users, and TradeDash support personnel. We do not intend to provide Customers with a Delivery Provider’s continuous location outside an active transaction.

6. How We Disclose Personal Information

We may disclose personal information as reasonably necessary to the following categories of recipients:

6.1 Customers, Suppliers, and Delivery Providers

We share information needed to complete a transaction. For example:

  • a Supplier may receive the Customer’s name, order, contact information, pickup or delivery details, and substitution instructions;
  • a Delivery Provider may receive the Customer’s name, address, telephone number, delivery notes, Supplier details, and order information needed for safe transport;
  • a Customer may receive the Supplier’s information and the Delivery Provider’s first name, vehicle or delivery details, location during an active order, status updates, and proof of delivery; and
  • authorized business users may view transactions completed through their business account.

6.2 Service providers

We may use companies that provide payment processing, hosting, cloud storage, databases, cybersecurity, identity verification, analytics, communications, mapping, navigation, customer support, fraud prevention, insurance administration, professional services, and similar functions.

Service providers receive only the information reasonably required to perform services for us and are expected to protect it under contractual or legal obligations.

6.3 Business transfers

Personal information may be disclosed in connection with a proposed or completed financing, investment, merger, acquisition, reorganization, sale of assets, insolvency, or transfer of all or part of TradeDash, subject to appropriate safeguards and applicable law.

6.4 Legal, safety, and compliance purposes

We may disclose information where we reasonably believe it is permitted or required to:

  • comply with a subpoena, court order, warrant, regulatory request, or other legal process;
  • respond to an emergency involving danger to life, health, or security;
  • investigate fraud, theft, collisions, unsafe conduct, or violations of our agreements;
  • protect TradeDash, users, the public, or another person’s rights, property, or safety;
  • collect a debt or manage an insurance claim; or
  • establish, exercise, or defend a legal claim.

6.5 With consent

We may disclose information for another purpose with your express or implied consent where permitted by law.

6.6 Aggregated or de-identified information

We may create and use aggregated or de-identified information that is not reasonably capable of identifying an individual. We may use or disclose that information for analytics, planning, research, reporting, product improvement, and business purposes, subject to applicable law.

TradeDash does not sell personal information for money. We may share information with service providers and transaction participants as described in this Policy.

7. Payment and Financial Information

TradeDash may use a third-party payment processor to collect customer payments and issue Supplier or Delivery Provider payouts. Payment information submitted through the Services may be transmitted directly to the processor.

TradeDash may receive a payment token, billing contact details, card brand, last four digits, transaction status, account identifier, payout status, and fraud or risk information. TradeDash does not necessarily receive or store complete payment-card numbers.

Payment processors independently handle personal information under their own privacy notices and legal obligations.

8. Cookies, Analytics, and Similar Technologies

TradeDash and our service providers may use cookies, local storage, pixels, tags, logs, mobile software development kits, and similar technologies to:

  • keep users signed in and remember settings;
  • secure accounts and prevent fraud;
  • measure site and app performance;
  • understand how users navigate and use features;
  • diagnose crashes and technical problems;
  • measure marketing campaign effectiveness; and
  • provide relevant content or advertising where enabled and permitted.

8.1 Types of cookies

  • Strictly necessary: needed for security, authentication, checkout, and core functionality.
  • Functional: remember preferences and improve convenience.
  • Analytics: help us measure usage and improve performance.
  • Advertising or marketing: measure campaigns or support interest-based marketing where used.

Your browser or device may let you block or delete cookies. Blocking necessary technologies may cause parts of the Services to stop working. Where required, TradeDash will provide a consent tool for optional cookies or similar technologies.

9. Communications and Marketing

9.1 Transactional communications

We may send communications needed to operate your account or complete a transaction, including verification codes, security alerts, receipts, order updates, substitutions, delivery messages, support replies, and policy notices.

9.2 Marketing communications

Where permitted by law, we may send promotional email, text messages, push notifications, offers, surveys, referral information, or product announcements based on your consent or another lawful basis.

Commercial electronic messages will include identification and contact information and a working unsubscribe mechanism where required. You may unsubscribe using the link or instructions in the message. Unsubscribing from marketing does not stop necessary transactional or security communications.

9.3 Push notifications

You can manage push notifications through your device settings. Disabling notifications may affect timely order or delivery updates.

11. Retention of Personal Information

TradeDash retains personal information only as long as reasonably necessary for the purposes described in this Policy or as required by law.

Retention periods may depend on:

  • how long an account remains active;
  • the duration of an order, delivery, Supplier, or Delivery Provider relationship;
  • tax, accounting, employment, insurance, and regulatory requirements;
  • fraud-prevention and safety needs;
  • warranty, return, chargeback, and dispute periods;
  • legal limitation periods and pending claims; and
  • backup and disaster-recovery cycles.

When information is no longer required, we will securely destroy, delete, erase, or de-identify it, subject to legal and technical limitations. Some information may remain in restricted backups until those backups are overwritten in the normal course.

12. Security Safeguards

TradeDash uses administrative, technical, and physical safeguards designed to protect personal information against loss, theft, unauthorized access, disclosure, copying, use, modification, and destruction.

Safeguards may include:

  • encryption in transit and, where appropriate, at rest;
  • password hashing and account authentication controls;
  • role-based access and least-privilege practices;
  • logging, monitoring, rate limits, and fraud detection;
  • vendor assessment and contractual privacy requirements;
  • staff confidentiality and security training;
  • secure development, testing, updates, and backups; and
  • incident-response and breach-management procedures.

No method of electronic transmission or storage is completely secure. You are responsible for protecting your password, devices, and account credentials and for notifying us promptly of suspected unauthorized activity.

13. Processing Outside Canada

TradeDash or its service providers may process or store personal information outside your province or outside Canada, including in the United States or other jurisdictions where our providers operate.

Information processed in another jurisdiction may be subject to that jurisdiction’s laws and may be accessible to courts, law enforcement, or government authorities in accordance with those laws.

We use contractual, organizational, and technical measures intended to protect personal information handled by service providers. You may contact our Privacy Officer for information about our use of service providers outside Canada.

14. Access, Correction, and Privacy Requests

Subject to legal exceptions, you may request access to personal information TradeDash holds about you and information about how it has been used or disclosed. You may also request correction of information that is inaccurate or incomplete.

To protect privacy, we may need to verify your identity before responding. We may ask you to clarify the information or time period covered by your request.

Access may be limited where permitted or required by law, including where disclosure would reveal another person’s personal information, confidential commercial information, information protected by legal privilege, security-sensitive information, or information generated in a formal dispute-resolution process.

Where appropriate, you may also request account closure, withdrawal of consent, or deletion of information that TradeDash is not legally or operationally required to retain. These rights are not absolute.

We will respond within the period required by applicable law. A fee will only be charged where permitted, and we will provide advance notice of the approximate amount.

15. Business and Organization Accounts

If your account is connected to an employer, Supplier, contractor, or other organization, that organization may control the account and may be able to:

  • add or remove authorized users;
  • manage permissions and payment methods;
  • view business orders, receipts, addresses, and account activity;
  • receive reports concerning use of the business account; and
  • request that TradeDash restrict or close access.

The organization may be independently responsible for information it collects or uses. Questions about its internal handling of personal information should be directed to that organization.

16. Children and Minors

TradeDash is intended for adults and business users. You must be at least the age of majority where you reside to create an account or enter into transactions through the Services.

We do not knowingly collect personal information directly from children for independent use of TradeDash. If you believe a minor has provided personal information contrary to this Policy, contact our Privacy Officer.

17. Third-Party Websites and Services

The Services may link to or integrate with third-party websites, Supplier systems, payment platforms, maps, navigation tools, social platforms, or other services.

This Policy does not govern a third party’s independent collection, use, or disclosure of personal information. Review the privacy policy of each third party before providing information to it.

18. Automated Processing and Platform Decisions

TradeDash may use automated tools, rules, or algorithms to support:

  • search ranking and product recommendations;
  • delivery matching, dispatch, routing, and estimated arrival times;
  • pricing or fee calculations based on disclosed factors;
  • fraud, abuse, security, and payment-risk detection;
  • account verification and eligibility review;
  • service-quality monitoring; and
  • personalization and analytics.

Automated outputs may be incomplete or incorrect and may be reviewed by authorized personnel. You may contact us if you believe an automated decision has materially affected your account or transaction.

19. Privacy and Security Incidents

TradeDash maintains procedures to identify, contain, investigate, and respond to suspected privacy and security incidents.

Where required by applicable law, TradeDash will notify affected individuals and report a breach of security safeguards to the appropriate privacy regulator when the breach creates a real risk of significant harm. We will also maintain breach records as required.

If you believe your account or personal information has been compromised, contact us promptly and change your password.

20. Changes to This Privacy Policy

We may update this Privacy Policy to reflect changes to our Services, technology, vendors, business practices, or legal obligations.

The revised Policy will be posted with a new effective date. Where required by law or where a change is material, we will provide additional notice and obtain consent where required.

We encourage you to review this Policy periodically.
